Guide
HVAC service reports and maintenance checklists
Short answer: record the equipment (model, serial, location), the readings you took, what you cleaned or replaced and what you recommend – the same way on every visit, so the next technician can compare.
Equipment first
Each unit is an asset of the client: model, serial number, refrigerant type, install date and location. With the asset on file, every report adds to its history – and warranty or replacement questions answer themselves.
Preventive maintenance checklist (example)
- Filters checked / replaced (size)
- Coils cleaned (indoor / outdoor)
- Condensate drain clear, pan clean
- Electrical connections tight, capacitor tested
- Refrigerant pressures and superheat / subcooling
- Supply and return temperatures
- Thermostat operation
- Belts and motors (if any)
- Notes and recommendations
Readings and photos
Write readings as numbers with units, every time in the same place. Take a photo of the nameplate and of anything you recommend to repair – it turns a recommendation into an approved quote.
