HVAC service reports and maintenance checklists

Short answer: record the equipment (model, serial, location), the readings you took, what you cleaned or replaced and what you recommend – the same way on every visit, so the next technician can compare.

Equipment first

Each unit is an asset of the client: model, serial number, refrigerant type, install date and location. With the asset on file, every report adds to its history – and warranty or replacement questions answer themselves.

Preventive maintenance checklist (example)

  • Filters checked / replaced (size)
  • Coils cleaned (indoor / outdoor)
  • Condensate drain clear, pan clean
  • Electrical connections tight, capacitor tested
  • Refrigerant pressures and superheat / subcooling
  • Supply and return temperatures
  • Thermostat operation
  • Belts and motors (if any)
  • Notes and recommendations

Readings and photos

Write readings as numbers with units, every time in the same place. Take a photo of the nameplate and of anything you recommend to repair – it turns a recommendation into an approved quote.
